Office Assistant / General Administration
PURPOSE OF THE POSITION
To support our sales staff and Administration related matters for Valmet related personnel and office.
RESPONSIBILITIES AND AUTHORITIES SALES ASSISTANCE RELATED
Communication with customers or other interest groups
Maintain necessary records, files and archives for business
Organize travel details, flights, accommodation, cars, etc for own personnel and visitors on domestic or international routes
Assist in organizing venues, exhibitions and providing refreshments to visitors when required
RESPONSIBILITIES AND AUTHORITIES HR RELATED
Assisting in work permit, visa issues etc. for expats and visitors
Passport and visa documents preparation for local employees
RESPONSIBILITIES AND AUTHORITIES ADMINISTRATION
Receive visitors
Handling front desk activities, incoming calls and mailing services
Ordering and reservation. Making order of lunch, beverages (water, coffee, tea, soft drinks etc.), news papers and office stationary. Reservations for taxi or hotel.
Arrange office appliance (fax or copy machine) maintenance and repair
Acting as contact person management office and cleaning service
